One executive lands at Pudong, three buyers arrive later, samples are at another hotel and the factory changed the gate. The solution is not a longer vehicle list. It is one manifest, one route plan and one dispatcher who can see the whole movement.

Start with one movement manifest

Create one source of truth before assigning cars. It should contain traveler names, mobile numbers, flight or train details, hotels, luggage, sample cases, meetings, host contacts, dietary notes and the person allowed to approve changes.

Group arrivals into waves. Two travelers landing twenty minutes apart may share a transfer if immigration and luggage are similar. A chairperson with a firm meeting time may need a separate sedan even when other guests arrive on the same flight.

Control rule

Do not let every passenger redirect a driver independently. Name one client decision maker and one dispatcher. Personal requests can still be handled, but the master schedule remains visible.

Use for principals, directors, airport departures and meetings where privacy matters. They should not carry the delegation's sample luggage by default.

Use for small teams, interpreters and rolling discussions. Sliding doors and separate seats make repeated factory stops easier.

Use for larger groups, staff and luggage. Confirm access restrictions and turning space at hotels, exhibition halls and factory gates.

Use a separate vehicle when cases, displays or equipment would make the passenger cabin unsafe or uncomfortable.

Airport arrivals without curb confusion

Every arrival needs a flight number, terminal, passenger phone and clear nameboard instruction. Use discreet signage for principals when requested. Share the meeting point before departure, not after the traveler lands.

Airport fast track and porter support may be available, but the exact service differs by airport and terminal. The assistant and chauffeur should share one handoff plan. If guests arrive in several waves, the dispatcher should track each one separately instead of asking the hotel vehicle to guess.

Factory and supplier visit days

Send the exact address in Chinese and English, supplier contact, gate, desired visit length and any visitor requirements. Many industrial areas contain several entrances that look close on a map but are not practical by road.

  • Cluster suppliers by geography before choosing the hotel.
  • Confirm photography, visitor badges and protective equipment with the factory.
  • Add time to load samples and write notes after each visit.
  • Keep lunch realistic. A remote factory day is not the place for a restaurant across town.
  • Use a vehicle with enough space for cases collected during the day.

Canton Fair and exhibition transport

Overseas buyers should complete the current official registration process and confirm badge arrangements before the fair. Transport does not solve a missing badge. Your driver also needs the correct complex area, hotel and planned exit time.

Pazhou traffic changes during major exhibition periods. A fixed curb promise can become unrealistic, so the dispatcher should agree on a primary pickup point and a backup that passengers can reach. Keep the coordinator and group leader connected while the driver moves into position.

A practical four day delegation plan

Day 1

Arrival waves and hotel control

Meet each flight, move luggage separately if needed, complete badge collection and hold a short briefing with the final next morning pickup list.

Day 2

Exhibition or board meetings

Stage principals and the main group separately. Keep one standby vehicle available for an early departure, forgotten item or unscheduled meeting.

Day 3

Factory clusters

Split into route groups only when the supplier schedule requires it. Each group receives its own manifest, coordinator contact and return plan.

Day 4

Final meetings and departures

Confirm invoices, samples, luggage and airport terminals the night before. Do not use the morning vehicle list as the departure list without checking.

Communication, language and privacy
