China trade show transport: how buyers and exhibitors stay on schedule

Successful exhibition transport is a movement plan for people, badges, samples and changing exit times, not a collection of unrelated cars.

A trade show day can fail before the first meeting. One buyer is still collecting a badge, samples are in another hotel, the principal left through a different gate and every vehicle is waiting under a different contact name. The solution is one movement plan that begins with arrivals and continues until the last dinner return.

This guide applies to major fairs in Shanghai, Guangzhou, Shenzhen, Beijing and other China exhibition cities. Venue rules differ, so the operating team must confirm the current gate, vehicle access and badge process for the exact event.

Build one movement manifest

List every traveler, mobile number, flight or train, hotel, role, luggage, sample case, badge status, hall, meeting time and host contact. Mark who can approve vehicle or timing changes. A spreadsheet hidden in one person's inbox is not an operating plan unless the dispatcher receives updates.

Group airport arrivals into realistic waves. Travelers landing twenty minutes apart may not exit together because immigration, luggage and terminals differ. A principal with a fixed opening meeting may require a separate sedan even if colleagues share the flight.

Treat badge collection as part of transport

Some fairs require overseas buyers to preregister and collect a physical badge. The Canton Fair, for example, publishes alternative registration locations outside the complex. A vehicle cannot solve missing documents, but the route can include an approved collection point before the first hall day.

Keep passports and registration material with the traveler, not in a luggage van. The coordinator should know who already holds a badge and who needs extra time.

Map the correct hall, gate and pickup zone

Large exhibition centers have several halls, gates and controlled vehicle areas. “Meet at the entrance” is not precise enough. Record the hall, gate, side of the venue and a backup point. Share a location pin and a simple image in the group chat when possible.

At peak closing time, the vehicle may not reach the curb visible from the hall. Build walking time to the legal pickup point and keep the group together. If executives and staff finish at different times, assign separate movements rather than making everyone wait.

Choose a fleet that reflects the work

Principals

Use a quiet sedan or premium MPV when privacy, direct meeting access and flexible departure matter.

Buyer team

An executive MPV works well for a small team, but luggage and sample cases reduce the usable passenger capacity.

Delegation

Use vans or several coordinated vehicles with named group leaders, vehicle numbers and one dispatch channel.

Samples

Add a luggage vehicle when products, catalogs or display material would otherwise crowd passenger cabins.

A workable fair day

  1. Morning: stage vehicles early enough for lobby loading, badge checks and fair traffic.
  2. Arrival: drop at the confirmed legal point and record where the vehicle will meet later.
  3. During the fair: dispatcher tracks schedule changes, sample movement and guests leaving early.
  4. Closing: group at the agreed gate before walking to vehicles. Avoid vague instructions in a crowded chat.
  5. Evening: confirm dinner passengers, luggage and return hotels separately from the daytime manifest.

Different cities, different pressure points

At Shanghai's National Exhibition and Convention Center, Hongqiao access and event traffic shape the arrival. At Guangzhou's Canton Fair Complex, badge status, Areas A through D and Pazhou traffic matter. Shenzhen events may connect naturally with factories in Bao'an, Longhua or Dongguan, but those are separate route commitments.

What to send for an operations proposal

Send the event, city, dates, halls, hotels, flights, travelers, roles, luggage, samples, badge status, dinner plans and factory addresses. Ask for vehicle capacity, daily hours and kilometers, overtime, parking, tolls, dispatcher coverage and the process for last minute changes.

For larger groups, request a movement sheet and vehicle assignment list before arrival. The goal is simple: every traveler knows who is moving them, every driver knows the next confirmed instruction, and one person can see the full day.

Frequently asked questions

How early should trade show transport be booked in China?

Book as soon as the event dates, hotel and group size are known. Major fairs can reduce vehicle and hotel availability well before opening day.

Can one van carry people and product samples?

Sometimes, but seat count does not equal capacity with large cases. Share dimensions and quantity so a separate luggage vehicle can be considered.

Does the driver help with buyer badges?

The transport team can route travelers to an official collection point, but registration eligibility and required documents remain the traveler’s responsibility.

Why use one dispatcher?

One dispatcher sees arrivals, vehicles, gate changes and early departures together, preventing separate drivers from acting on conflicting instructions.
