Design the route before accepting the meeting times

A roadshow becomes fragile when meetings are confirmed independently and transport is considered afterward. Map every office, hotel, airport and dinner first. Then identify which times are truly fixed and where a buffer can be placed.

Shanghai, Beijing, Shenzhen and Guangzhou each contain business districts that can take significant time to cross. Four meetings in one city may be more demanding than a flight between cities if the towers are poorly grouped.

Collect the complete address and access instructions

English company names are not enough. Ask each host for the building name in Chinese, tower, entrance, floor, registration process and a mobile contact. Many complexes have separate guest, hotel, retail and loading entrances.

The chauffeur should receive the next destination before the passengers return to the car. Security registration and elevator queues should be included in the arrival buffer, not treated as meeting time.

Choose a vehicle that works between meetings

One principal and an assistant may prefer a premium sedan. Three to five executives often work better in an MPV with easier entry, more legroom and space for presentation cases. A delegation may need several mirrored vehicles with numbered passenger allocations.

WiFi and charging can be requested, but connectivity is never absolute. Download essential materials and keep a working cable and power bank available. The vehicle is a useful transition space, not a guaranteed private conference room.

Airport, rail and intercity transitions

Send the flight or train number, not only the departure time. Shanghai has Pudong and Hongqiao airports as well as several railway stations. Beijing and Guangzhou also require the correct terminal or station.

A critical meeting should not begin immediately after a scheduled arrival. Build a recovery window for delays, baggage, terminal walking and city traffic. When the team moves between cities, local chauffeurs can change while one operations desk keeps preferences and luggage plans connected.

Meals, luggage and the end of the day

Use lunch as a real buffer when possible. A working meal inside the same district can protect the afternoon, while a fashionable restaurant across town may break the route. Confirm dietary needs and reservation names in advance.

If the final movement goes to an airport, count every suitcase, cabin bag and presentation case. Choose the vehicle for the end of the roadshow, not only the morning passengers. Confirm overtime rules because a productive final meeting often runs beyond the original schedule.
